RoomPhase Return to contact form

Privacy · last updated 17 August 2026

Beta application privacy notice.

This notice explains what happens to the information you provide through the RoomPhase contact form. RoomPhase uses contact details only to respond to your message and provide relevant follow-up.

Information collected

The application asks for your name, email address, country, time zone, room and system details, operating system, measurement and calibration experience, software used, testing availability and the problem you want RoomPhase to help investigate.

Do not submit passwords, licence keys, private measurement files or information about anyone else.

Why it is used

RoomPhase uses the information with your consent to assess beta suitability, select a useful mix of rooms and experience levels, contact selected applicants, organise testing and understand which workflows need coverage. Application data is not sold, used for advertising or added to an unrelated marketing list.

Who processes it

The website is delivered by Cloudflare. When you submit the form, its contents are sent to Web3Forms, which processes the submission in the United States and forwards it to the private RoomPhase application inbox. The destination email provider will also process the resulting message.

Web3Forms states that submissions on its free service may be retained for up to 30 days and that server logs containing personal information are deleted periodically. Its handling is governed by the Web3Forms privacy policy.

Retention and access

Applications that are not selected will be removed from the RoomPhase application inbox within 12 months. Information about selected testers may be kept for the beta and for up to 12 months after the last testing contact, unless it is needed longer to resolve a specific issue or meet a legal obligation.

You may ask to access, correct or delete your application, or withdraw your consent, by emailing beta@roomphase.com. Withdrawing consent does not affect processing that already took place.

Security and age

Access to applications is limited to people working on the RoomPhase beta. Reasonable technical and organisational safeguards are used, but no internet transmission or email system can be guaranteed completely secure. The beta is intended for applicants aged 18 or over.

RoomPhase is currently a private-beta project. This notice will be updated if the controller identity, service providers or use of applicant data changes.
